Booking Conditions

Please read this section and the important information carefully.
These booking conditions along with the general information detailed on our website form the basis of your contract with SKITRACER.com and apply not simply to you but all the people named on your booking.

IMPORTANT: Adequate insurance for your ski holiday is essential and a condition of booking of all tour operators. Please check your policy covers you for too much snow as well as too little, for delayed departure and for hired equipment amongst other things.

1. SKITRACER.COM acting as the organiser
The type of arrangements you book will decide if your contract is with us or another supplier of travel services. Your contract will be with us if you book at least 2 or more of the following services when the services are taken together and also either a) cover a period over 24hours or b) include overnight accommodation: 1. transport 2. accommodation 3. other tourist services not ancillary to transport or accommodation which account for a significant part of the arrangements. We will need to be aware that you have booked more than one arrangement with us. In these instances we will accept responsibility in accordance with these booking conditions as an organiser. 2. SKITRACER.com acting as an agent
If you book a package through us and that package has been supplied by a third party supplier your contract for that package will be with that party. In this instance the terms and conditions of the third party will form the basis of the contract with the third party concerned. We will send you either a link to or the location of the third party’s terms and conditions when we acknowledge the details of your booking by email. It is important that you read these very carefully. SKITRACER.com is acting as an agent for that third party and we have no liability in relation to that package for the acts and omissions of the third party or any supplier or party connected with that package. The bookings conditions below apply to this type of booking.

3. Travel arrangements through SKITRACER.COM (also acting as an agent)
Your contract for travel arrangements booked through us and supplied by a third party is with that supplier. Therefore the terms and conditions of this third party will form the basis of your contract with them and you will be sent a link to (or give you the location of) their conditions when we acknowledge details of the booking by email. It is important that you read these very carefully. SKITRACER.com is acting as an agent for that third party and we have no liability in relation to that package for the acts and omissions of the third party or any supplier or party connected with that package. The bookings conditions below apply to this type of booking.

Your booking
You must be at least 18 years of age and authorised to make the booking on the basis of the booking conditions by all the people named in the booking. The party/group leader accepts and agrees to be bound by the conditions applicable to the booking. This person is also responsible for correct and timely payments for the booking.

When we receive your instruction to confirm your holiday and all appropriate payments, subject to availabililty we will:

SKITRACER.com acting as an agent and travel arrangements through SKITRACER.com – Email an acknowledgement that your instruction has been received in the form of a receipt for monies received. This confirms that we are passing your booking request on to the third party involved. This is not a confirmation of your booking. This we can only do once we have such from the third party.

In all instances all documentation will be sent to the party leader. It is very important that you check this carefully as soon as you receive it and contact us immediately if any information is incorrect or incomplete as it may not be possible to rectify this later on.

We cannot accept any liability if we are not notified of any inaccuracies in these documents within 24hours of you receiving it. Where we are acting as an agent or for a third party or booking your travel arrangements, we will have no liability for errors in documentation unless they were made by us. Any acceptance of liability is subject to the time limit detailed above regarding notifying us of inaccuracies.

For flights booked with scheduled airlines, e-tickets or airline flight confirmations will be sent to you within 24 hours of payment being accepted.


How to pay us
A deposit is required of usually between £120 and £150 per person but the exact amount, which could be more or less, will be confirmed to you by your sales agent. Full payment is required for bookings departing within 12 weeks of departure.
The balance of the holiday cost must be paid not less than 12 weeks prior to departure or the date shown on your receipt. If we do not receive any payment in full and on time we reserve the right to treat your booking as cancelled by you. In this instance cancellation charges as set out in by the third party apply or, in the case when SKITRACER is the organiser, as detailed in the section on cancellation in our booking conditions here. Credit cards – payment by credit card will incur the following charges: all credit card 2% except AMEX which is 3%. All booking are subject to a £5 per person administration fee unless otherwise stated.

Your contract
SKITRACER as an agent (including providing travel arrangements) – Your contract comes into existence as set out in the terms and conditions of the third party unless we expressly tell you otherwise at the time of booking.

Holiday cost
As we act as an agent for third parties, we reserve the right to pass on to you in full all additional costs and charges of any nature imposed by the third party in accordance with their own terms and conditions.

We reserve the right to correct errors in both advertised and confirmed prices. We will do so as soon as we become aware of the error.

Changes and cancellations by you
Changes: If you wish to change any aspect of your holiday you must notify us in writing as soon as possible. Please bear in mind that with certain items such as ski carriage or ski packs there are a limited number and if not booked at the time you booked your holiday it may not be possible to add these. As we acknowledge all change or cancellation emails we receive, if you do not hear back from us within 24hours please contact us again.
There will be an amendment charge of £10 in addition to any charges levied by the supplier(s) where we are acting as an agent.

IMPORTANT: Most airlines will also charge for changes and some will charge the full cost of the flight.

Cancellation: All cancellations must be notified to us in writing by the party leader. Your cancellation will be effective when it is received in SKITRACER.com’s offices and acknowledged by us. Any cancellation that results in a reduced number of people travelling may result in a change in holiday costs (eg empty bed supplements or reduction in free places etc) and we, or the operator/supplier, will recalculate the cost and re-invoice you accordingly.
The cancellation charges that apply will be set out in the third party’s booking conditions. In addition, a £50 administration fee for each party member that has cancelled will be applied by SKITRACER. Subject to terms, you may be able to reclaim cancellation charges (less the excess) from you insurance company.

Changes and cancellations by third party supplier
We will pass on any changes to your holiday or travel made known to us by the third party along with any compensation they may offer. As we act as an agent for these suppliers we cannot accept any liability for third party changes or cancellations. This is also the case if changes of one third party arrangement may affect your ability to join another third party arrangement regardless as to whether SKITRACER.com has acted as the booking agent or not.

Flight timings may be changed by the airline as timings shown on your holiday confirmation (or receipt/acknowledgement) are the latest planned timings and are therefore subject to change. Your actual flight timings will be shown on your ticket. Please check as soon as you receive your tickets/e-tickets.

Force Majeure
Force majeure are events completely beyond our control or the control of our supplier(s) that they or we could not, even with all due care, have foreseen or avoided. Except where otherwise expressly stated in our booking conditions, SKITRACER.com cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by force majeure, or, where you suffer any damage or loss as a result of force majeure. Examples of such force majeure are war, threat of war, riot, civil strife, actual or threatened terrorist activity, adverse weather, fire or other similar events.

Our liability to you
Where we act as an agent for a third party, your contract is with them and we accept no liability in relation to the holiday itself or for the acts and omission of the third party concerned. There terms and conditions of the third party will apply to your contract and we will provide a link to these when we acknowledge receipt of payment.
However, if we are found to have been at fault in relation to the service we provide as an agent of a third party (as opposed to the failings of service provided by the third party) our maximum liability to you is limited to the commission we earn or are due to earn in respect of the booking in question. We do not exclude or limit any liability for death or personal injury which arises as a result of our negligence or that of our employees whilst acting in the course of our employment.
Complaints: as we act as an agent for third parties concerned, we will provide assistance in resolving a complaint with a third party as a goodwill gesture and in our capacity as an agent.

Special requests
If you have a special request, you must advise us at the time of booking and we will pass this on to the third party supplier(s) concerned. However we cannot guarantee that this request will be met as our third party suppliers do not make this guarantee. Confirmation that a special request has been passed on to the third party concerned (by inclusion in documentation) is not confirmation that the request will be met. All special requests are subject to availability.

We cannot accept conditional bookings namely any booking which is specified to be conditional on the fulfilment of a particular request. All such bookings will be treated as standard bookings and subject to the provisions above.

If you or any member of your party has a medical condition or special needs of any kind which may affect you holiday, please tell us before you confirm your booking so that we can advise as to the suitability of the chosen arrangements.

Passports, visas and health requirements
Please check www.fco.gov.uk for the passport, visa and health requirements applicable to British citizens for the holidays we offer. We do our best to advise you of current requirements for all these but it is your responsibility to check for your own specific needs and to make sure you have the most up to date information. Information on health is contained in the Department of Health leaflet T6 (Health Advise for Travellers) available from most Post Offices.

It is your responsibility to ensure that you are in possession of all necessary travel and health documents before departure. All costs in obtaining such documents must be paid by you. If you or any member of your party is not a British citizen or holds a non-British passport, you must check the visa requirements with the Embassy or Consulate of the country or countries through which you are travelling or where you are intending to stay. We cannot accept any responsibility if you are refused entry due or to board a flight if you failure to do this results in incorrect documentation.

British skiers travelling to the US now have to supply information about themselves prior to travel. Please call for details.

Financial security
SKITRACER.com is fully ABTA and ATOL bonded. The air holiday packages shown are ATOL Protected by the Civil Aviation Authority, as we act as agent for licensed tour operators. The names and ATOL numbers of these tour operators will be provided at the time of booking. You should refer to the third party’s booking conditions and other information for details of how your booking is protected in the event of the third party’s insolvency.

Prices and website accuracy
Prices for flights and holidays change extremely rapidly and are fluid priced which means they can go up or down. The information and prices on our site may have changed by the time you come to book. Therefore please check the details and price of your holiday or transport arrangements when you come to book. Where we act as an agent, we have no responsibility for errors in documentation, including pricing errors except where those errors where made by ourselves.
